Many users struggle with spreadsheets that are hard to read, navigate, or understand.
Whether you're sending reports to your boss or sharing data with clients, accessibility makes sure everyone can use it.
We'll show you the easiest, most effective ways to ensure your spreadsheet is inclusive for all users. Let’s get started!
1. Open your Excel spreadsheet, which needs to be made accessible.
2. Go to the "Review" tab on the top ribbon.
3. Click on "Check Accessibility" in the "Accessibility" group.
4. Review the "Accessibility Checker" panel that appears on the right side.
5. Click each listed issue to see where it appears in the sheet.
6. Read the recommendation shown for each issue and follow the suggested fix.
7. Replace unclear sheet names like "Sheet1" with descriptive names like "Sales_2024".
8. Under the Warnings section in the right panel, click on the highlighted warning row.
9. A pop-up of Content Not Found will appear; click on the Recheck button.
10. You will notice now that all issues has be resolved in the Accessibility Assistant panel on the right side with green ticks.
11. Close the Accessibility Assistant panel.
12. Select all the table data and click on the Format as Table from the Home Tab.
13. Select any Table format style from “Light”, “Medium”, or “Dark”
14. Make sure font size is at least 12pt for all text elements.
15. Use simple, readable fonts like Calibri, Arial, or Verdana.
16. Avoid merged cells, as they disrupt screen reader navigation.
17. Turn off "Wrap Text" in header rows if it breaks reading flow.
18. Save the final version, and you're done!
